TERMS AND CONDITIONS

The Groza Learning Center is proud to attract and retain highly educated, professional, caring, and talented staff. For most of our employees, the learning center is their sole source of income. The following policies are in place to provide these amazing people the job stability they need and deserve, so they can, in turn, provide your child the level of education he/she needs and deserves.

Transparency: Online Portal- Oases

Upon enrollment parents/guardians will receive access to a secure online portal and will have an ability to:

  1. Review invoices and make payments
  2. Check the child’s schedule
  3. Read session notes and updates

Scheduling: Session Type

Each session is 50 minutes. Students must arrive 15 minutes early for his/her first session. We do not accept cancellations
under any conditions, instead, we offer Make-Pp sessions.

Two session types are available:

A La Carte Session type

  • Standard rates
  • No minimum commitment
  • Payment is due in full at the time of scheduling
  • No refundable cancellations or Make-Up sessions are permitted for any reason

Standing Session Type

  • Discounted rates
  • Minimum 12 sessions commitment. Payment for the initial 12 sessions is due in full at the time of scheduling. All sessions beyond initial commitment qualify for a discounted rate.
  • Monthly payments for any current month sessions scheduled beyond initial commitment are expected on the 1st of the month to reserve your time (credit cards on file will be automatically charged unless the office is notified otherwise 5 days in advance). Payments for any sessions scheduled after the 1st of the month are expected at the time of scheduling.
  • Any changes to scheduled sessions are subject to the Make-Up session policy

Scheduling: Holidays and School Vacation days

We work with students from schools all around the Los Angeles area; therefore, it is impossible for us to follow any one school’s vacation or religious schedule. However, Groza Learning Center is closed for some holidays throughout the year (see the school year calendar for further details). If your scheduled session falls on a day the center is closed, you may schedule a Make-Up session for another day if we have availability and it will not be counted against your allotted number of make-up sessions. For sessions that fall on days your student’s school is closed and the center is open, Make-Up sessions do count against your allotted number of make-up sessions. This includes, but is not limited to religious holidays, winter breaks, spring breaks, etc… in all circumstances, it is the sole responsibility of the parent or guardian to schedule Make-Up sessions. Refunds for scheduled sessions will only be issued if the cancellation request is given at least 60 days prior to the first scheduled session, in which case a 50% refund will be returned. No refunds are made otherwise.

SCHEDULING: MAKE-UP SESSIONS

Make-Up sessions are available for our standing session students only. The following are guidelines to book your Make-Up session(s):

  1. 24-hour notice is required to be eligible for a Make-Up session. If notice is not given within 24 hours then this is considered a last-minute cancellation. We do not allow Make-Up sessions or refunds for “No Shows” or last-minute cancellations.
  2. Make-Up sessions may not be applied to future standing sessions. Make-Up sessions are intended to be used outside the standing session schedule only. No exceptions.
  3. If a Make-Up session is scheduled with a substitute tutor, any cost differential will be reflected on your account.
  4. Once Make-Up sessions are booked, they may not be canceled or modified for any reason.
  5. Make-Up sessions expire 90 days after accruing or end of the school year, whichever comes first.

Payment

For your convenience, We have several methods ff payment available:

  1. Electronic Check
  2. Credit card: Mastercard, Visa, Discover, and American Express*
    *note: there is a processing fee of 3% with this option

Sessions are not confirmed until the payment is made. By saving your payment method in your oases account, you authorize Groza Learning Center or its authorized agent to automatically debit your credit card or bank account for the amount due. You can cancel this automatic payment at any time by removing your payment method from your oases account or by contacting the office; prior to completing this request a final payment may be initiated to satisfy any outstanding balances on your account. Groza Learning Center or its financial partners can also cancel automatic payment for your account for any reason, at any time, with or without prior notice to you. You acknowledge that the origination of these debits to your account must comply with U.S. Laws. You agree that this agreement remains in effect until canceled by Groza Learning Center, financial institution, or you. You agree that the Groza Learning Center’s rights with respect to each transaction shall be the same as if it were transacted and signed personally by you.

Payment amount will vary depending on number and type of sessions and/or materials as recorded by Groza Learning Center. Standing sessions are billed on the 1st of every month for the current month sessions. Payments for all other sessions are expected at the time of scheduling. Invoices will be sent out at the time of billing and are accessible from your online Oases account. Should a billing dispute arise, please notify us immediately.

Invoices not paid within 5 days of issuance will accrue 5% interest per month

Bounced checks or chargebacks will incur a fee of $35 per return

PICK-UP POLICY

Although we strongly recommend in-person lobby pick-up, it is not the policy of the Groza Learning Center to retain students at the end of their session. Groza Learning Center does not take responsibility for unattended children before or after their sessions. It is the sole responsibility of the parent to ensure safe drop-off and pick-up.

For your convenience, we’ve arranged for 15 minutes of free parking in the garage/parking lot. Simply write “Groza” on the back of your ticket.

Communication

After every session, you will receive an update either in person, if you are in the lobby for pick up or via email. If a session ever does not meet your expectations, please let us know right away so we can fix it. We never take feedback personally and do not want you to feel awkward sharing it. We are dedicated to always improving our quality of service. Sometimes it takes a while to figure out what works as we get to know students. Also, children are ever changing/developing, so sometimes what has worked in the past doesn’t work anymore. Therefore, your feedback is pivotal to meeting your needs.

We would rather you give us A chance to make it right than you feel awkward and/or be unhappy with our service. Thank You!

Ancillary Services

Groza Learning Center and its team provide an array of services beyond traditional tutoring. For all services rendered beyond the scope of tutoring and the reasonable preparation required, that is included free of charge, additional charges may be applicable. These services include but are not limited to, meetings, professional correspondence, extra planning, additional homework compilation, curriculum development, after hours/late night tutoring, and student academic management. Prices for all ancillary services are available upon request.

Other Terms and Conditions

In rare circumstances, Groza Learning Center may substitute a different instructor for sessions on a temporary basis. If this change ever becomes permanent and the family is not satisfied, we will gladly work with the child to find the right instructor within the center. This does not apply to group classes. Groza Learning Center, at its sole discretion, may decide to switch instructor for groups/sessions.

The bathroom is not located in our office. It is our policy to allow students to go to and from the bathroom unsupervised.

I, parent/guardian, hereby grant to Groza Learning Center, their successors, and their assignees the right to record the image and/or voice and use the artwork and/or written work of my child on videotape, on film, on photographs, in digital media, on the internet, in brochures, and in any other medium and hereby consent to such use and in any other form of the electronic or print medium and to edit such recording at their discretion. I understand that my child’s full name, address and biographical information will not be made public.

In rare instances, Groza Learning Center may find a child incompatible with its programs, classes, and/or tutoring methods. If this happens and the child must cease participation with the Groza Learning Center, a full refund will be issued for sessions yet to be completed (a prorated amount). This refund will be given within 10 business days and the family will have no other recourse. For any class or tutoring cancellations initiated by Groza Learning Center, the family will be credited. All claims by the family are limited to the amount paid for any sessions in question. No claims shall be valid after seven days from the last session date. Terms and conditions are subject to change at any time without notification.
